These rules include which phone numbers to dial, in which order, on what days, and at what times. You can set up special rules for forwarding outside of business hours, such as sending calls cell phones instead of office lines. You’re free to change any part of your call forwarding rules in real-time by logging in to your WebLINK Internet Control Panel. You can also enable online several call screening options that announce to you a caller’s name, phone number, or extension dialed before connecting the call, with an option to direct the caller to voicemail.
More sophisticated call delivery options include setting up special ring group rotations, such as:

Business Voicemail
When callers reach your virtual office auto attendant and select an extension, your service forwards the call to any phone numbers you have set up for that extension. If no one answers at those numbers, if it is outside your set business hours, or if no call forwarding rules are available for that extension, the caller is instead directed to leave a voicemail message. Voicemail messages can be checked over the phone with a secure PIN number, delivered to an email address automatically, or checked online at any time through your WebLINK Internet Control Panel. If you’re a fast-moving professional, checking your voicemail online or even through email isn’t always a possibility. You need a more proactive, mobile solution, like our TalkTextSM voicemail transcription feature. For a small fee, TalkText transcribes some or all of your business voicemails into text messages and delivers them to your cell phone.
Voicemail to Email
While TollFreeRental.com® Virtual Office voicemails can be checked over the phone or online and any time, some proactive professionals require more immediate notification. To provide this alert, each voicemail box in your virtual office can be set to forward messages to any amount of email addresses. Each email contains an MP3 file with the voicemail audio. The subject and body of the email has easy-to-scan information, including caller ID, time and date received, and the voicemail box the caller came through. Your virtual office will even automatically flag blank or “hang-up” voicemails to save you time.
Internet Faxing
TollFreeRental.com® Virtual Office includes Internet fax service. When a customer or affiliate sends a fax to your toll free number, your virtual office system will automatically detect the incoming fax tones and store the transmitted document online as a PDF file. You can access these documents through the Internet at any time and can also choose to have them immediately forwarded to your email or a physical fax machine. You can send a fax online by logging into your WebLINK Internet Control Panel. Faxes can be uploaded in a variety of file formats and a cover page can be added from within WebLINK. Each outbound Internet fax can be sent to up to five fax numbers at a time. The caller ID for these sent faxes will be your TollFreeRental.com toll free number. To make it even easier for you to send faxes from your TollFreeRental.com Virtual Office, we’ve created the FaxFreedom Printer Driver that you can download for free and use from your desktop.
When you’re ready to fax a document from your computer, simply follow the steps you’d normally use to print. When prompted to choose a printer, you will see a FaxFreedom driver option that will guide you through uploading and transmitting your document as a fax.
WebLINK
WebLINK is an online control panel that lets you manage your TollFreeRental.com Virtual Office from anywhere you have Internet access. WebLINK allows you to check your messages or make changes to your virtual office settings in real-time, offering the tools and reports you need to fit your virtual PBX to your changing business needs. As the administrator of your WebLINK account, you can create additional users for your virtual office, enabling your employees to log in and check their voicemail or update their call forwarding settings as necessary. Non-administrative users do not have access to many features, such as updating billing information or generating call reports. Once logged into WebLINK, you’ll be able to create and view the following types of reports:
- Calls Report – See all calls during a certain time or date range, including extensions dialed.
- Mailbox Report – See all calls that went to a particular extension or group of extensions.
- Missed Calls Report – See all missed calls, including the caller’s phone number for follow-up.
- Schedule Report – Easily create an optimized employee schedule based on call traffic.
- Review Calls Report – Listen to recorded conversations that took place on your virtual PBX.
